What is a workspace, and how do I create one?

A workspace is your team's container for projects, contacts, and activities. A personal workspace is created automatically when you sign up. You can create additional workspaces from the org switcher in the top-left of the app.

What is a personal workspace, and why do I have one?

Every account gets a personal workspace as a solo sandbox and identity anchor — a private space for your own projects, notes, and quick captures that no one else can see. You can keep using it indefinitely, or create and join team workspaces alongside it. Your personal workspace is always yours, even if you leave every team.

Who can create projects in a team workspace?

Accepted Answer

Only workspace owners and admins can create projects inside a team workspace. Regular members and viewers can still create projects in their own personal workspace. When you click 'New project,' you'll be prompted to pick which workspace it belongs to — the picker only lists workspaces where you have permission to create.

Which subscription plan applies inside a shared project?

The workspace's plan governs every project it contains. If you're a Pro user invited into someone else's Free team workspace, that project uses the Free plan's limits — your personal Pro plan does not carry over. This keeps billing predictable and prevents feature access from leaking across teams. To unlock Pro features for a team's projects, the team workspace itself must be on a Pro plan.

Can I move a project from my personal workspace into a team workspace?

Not directly today. Projects are permanently scoped to the workspace they were created in. If you need a project to live under a team, create it in that team workspace from the start (or ask an owner/admin to). Contact support at support@flowist.co if you need help migrating an existing project.

What's the difference between a workspace member and a project member?

Accepted Answer

Workspace membership determines which workspace you belong to and your role there (owner, admin, member, or viewer). Project membership, on shared projects, controls who can see and act on that specific project. A workspace owner or admin can share a project with a subset of the workspace rather than the whole team, so not every workspace member automatically sees every project.

How do I invite teammates?

Open your workspace settings from the org switcher and use the Invite teammates option. Invited users receive an email link and join your workspace on first sign-in.

Is my data secure and isolated from other workspaces?

Accepted Answer

Yes. Flowist uses sovereign isolation — every record (projects, activities, contacts) is scoped to a single workspace and protected by row-level security at the database layer. Other workspaces cannot read your data.

How does billing work?

Accepted Answer

Plans are tied to a workspace, not to an individual user. The workspace owner pays for the team plan, and every member of that workspace inherits the same plan benefits. If you own multiple workspaces, you need a separate subscription for each workspace you want to upgrade. Members of someone else's workspace do not need their own subscription — that workspace owner's plan governs their experience. You can change or cancel a workspace plan from that workspace's billing settings.

How do I export or delete my data?

You can request a full data export or account deletion by emailing support@flowist.co from the address associated with your account. We honour deletion requests within 30 days, per our Privacy Policy.

Not yet — a public API is on our roadmap. If you have a specific integration in mind, send us a note from the Contact page and we'll factor it into prioritisation.

When do I get an email about an activity comment?

Accepted Answer

Flowist follows a 'participant' model, similar to Google Docs and Linear. You'll receive an email for every new comment on an activity once you've been pulled into the thread, and you stay subscribed until you mute it. You become a participant when any of these are true: you were @-mentioned in any comment on the activity (past or present), you've posted a comment on the activity, or you're the activity's lead assignee, the person who assigned it, or its owner. @-mentions still stand out — you'll get a 'mentioned you' email, while other thread activity arrives as a 'commented on' email. To stop receiving emails for a specific thread, open the comments panel on the activity and choose Mute; a later @-mention of you will override the mute. People who haven't joined Flowist yet (shadow contacts) only receive an email when they're explicitly @-mentioned, and that email doubles as an invite to sign in.
